Payroll Software


Payroll software is software that enables a business owner to issue paychecks to employees. It automatically deducts all payroll taxes from the paychecks before the paychecks are printed and issued, and it also calculates tax payments that are due to the IRS each payroll period based on these deductions. Payroll software can be a stand-alone product or it can be a feature of or integrate with comprehensive accounting software.

Even the most basic payroll program simplifies salary payment and can often eliminate the need for a bookkeeper to handle basic salary-related tasks. This is because it uses hours worked or other means of tracking the gross salary due to compute the full amount of salary for any pay period, and it then deducts the amounts of tax and other payments such as insurance that the employer must withhold. The net result is the net salary due, and the employer then has the option of printing a paycheck using check forms that are intended for the software, or even of making a direct deposit to the employee's bank account.

Online interfaces allow payroll programs to interact with bank payroll accounts, so that payments are accurate and any issues regarding insufficient account balances can be addressed before problems depositing or cashing paychecks can occur.

More complex payroll packages, and packages that tie in with accounting software, provide additional time-saving features. These include the ability to make direct payments of employment taxes by check or electronic deposit to the IRS based on payroll deductions, as well as the ability to generate tax records that simplify accounting tasks when quarterly or annual tax returns are due.

Programs that handle simple or more complex payroll tasks are available from major software providers. In the event a business uses a custom financial management program, the programming firm which supplied it usually offers either a payroll module or a bridge to one or more popular and reliable payroll packages.
